Step 1 — Set up your clinic profile (3 minutes)
After logging in for the first time, head to Settings → Clinic Profile. Fill in your clinic name, GST number (if registered), address, and upload a logo. The logo is used on every printed invoice, prescription, and lab work order. If you operate multiple branches, you can add them later from Settings → Branches — each branch gets its own staff list, chair count, and tax profile while sharing patient records. Most clinics complete this step in under three minutes; the only required fields are clinic name and country, everything else can be filled in as you go.
Step 2 — Add your first patient (90 seconds)
From the dashboard, click "Add Patient" or use the search bar with the keyboard shortcut Ctrl+K. Required fields are name and phone — everything else is optional and can be filled in during the first appointment. Once saved, the patient gets an auto-generated unique ID and a portal invite (off by default — toggle on from the patient profile if your patient wants self-service booking). The mobile-first input form means you can register a patient from your phone while the receptionist handles the queue.
Step 3 — Draft a treatment plan
Open the patient profile and click "New Treatment Plan". The 32-tooth chart loads with every tooth in healthy status. Click any tooth to mark a condition (caries, missing, fractured, root-treated, etc.) and the system suggests common treatments based on the chart finding. You can group treatments into phases (e.g., Phase 1 — emergency, Phase 2 — restorative, Phase 3 — cosmetic) and the patient sees a clean printable plan with estimated costs broken down by phase. Plans can be revised at any time and version history is preserved for audit.
Step 4 — Send a WhatsApp appointment reminder
Schedule the patient's first appointment from the calendar (drag-to-create works). When you save, Dentospire automatically queues a WhatsApp reminder for 24 hours before the slot. Step 5 — Issue your first invoice
Once a treatment is marked completed on the chart, an invoice line item is generated automatically. Add a payment, partial-payment, or apply patient credits, and the system handles GST calculation (CGST + SGST or IGST based on the patient's state) without manual math. The PDF generated is GST e-invoicing compliant, includes your logo, and can be shared as a WhatsApp attachment with one click. For walk-in patients without a registered profile, use Quick Mode for a 3-minute consult-to-receipt flow.
