1. Overview
Dentospire Technologies LLP ("we", "us", "our") provides AI-first dental clinic management software on a subscription basis. This policy explains how refunds and cancellations are handled.
2. Free Trial
We offer a 14-day free trial for all new accounts. No payment is required during the trial. You may cancel at any time during the trial period without charge.
3. Subscription Cancellation
- You may cancel your subscription at any time from your account dashboard.
- Cancellation takes effect at the end of the current billing cycle.
- You will continue to have access to all paid features until the end of the billing cycle for which payment has been made.
- No automatic renewal charges will be applied after cancellation.
4. Refund Eligibility
4.1 Within 7 days of first paid subscription
A full refund will be issued if you cancel within 7 days of your first paid subscription, provided you have not used premium features substantially (defined as fewer than 50 patient records created, fewer than 10 AI X-ray pre-reads consumed, and fewer than 5 days of active use).
4.2 After 7 days
Subscription fees are non-refundable after the 7-day window. Pro-rated refunds for the unused portion of an annual subscription may be considered on a case-by-case basis for legitimate technical or service failures attributable to us.
4.3 No refund cases
The following are NOT eligible for refunds:
- Cancellations beyond the 7-day window for monthly subscriptions
- Add-on features (AI premium, custom integrations) consumed during the billing cycle
- Voluntary downgrades or feature disablement
- Account terminations due to violation of our Terms of Service
5. Refund Process
To request a refund:
- Email support@dentospire.com with subject "Refund Request"
- Include: clinic name, GSTIN (if applicable), subscription start date, reason for refund
- We will respond within 3 business days
- If approved, refunds are processed within 7-10 business days to the original payment method
- Bank transfers may take additional 2-3 business days to reflect
6. Failed Payment / Disputed Transaction
If a payment was charged in error, contact support@dentospire.com immediately with transaction reference. We will investigate and resolve within 5 business days.
7. GST Refunds
For Indian customers, GST refunds (if applicable) will be processed in accordance with applicable tax regulations.
8. Disputes
If you are unsatisfied with our refund decision, you may escalate to:
- Internal grievance officer: grievance@dentospire.com
- Indian customers: National Consumer Helpline (1800-11-4000) or your state consumer forum
- For payment-related grievances: RBI Banking Ombudsman or your payment provider's grievance redressal
9. Changes to This Policy
We reserve the right to update this Refund Policy. Updates will be posted on this page with a revised "Last updated" date.
