Dentospire's appointment calendar lets a dental clinic book, move and check in patients on a day, week or month view, assign a chair, repeat a visit series, and remind patients the day before.
The problem in a real clinic
The diary is a register at the front desk, so the doctor cannot see tomorrow's list from home and two patients get written into the same slot. Nobody reminds anyone, and the chair sits empty while you wonder whether the patient is coming.
How it works
- Open Appointments and switch between day, week and month views.
- Book from a slot or with Quick Book, choosing the patient, doctor and time; add a walk-in who has just arrived without an appointment.
- Assign a chair, and for a course of treatment set the visit to repeat daily, weekly, every two weeks or monthly until an end date.
- Drag an appointment to another slot to reschedule it. If that would overlap the same doctor's other appointment, the move is blocked.
- Check patients in as they arrive. The day before, patients are reminded; the next day, appointments nobody attended are marked as no-shows.
What you see on screen
- The calendar in the view you choose, with today's and upcoming appointments.
- A check-in button on each appointment for the front desk.
- A missed appointments history, to call back patients who did not come.
What the patient gets
- A reminder the day before: on WhatsApp with SMS as a fallback for clinics in India, and by email where the address is on file.
- The option to book online from your clinic's booking page or patient portal, choosing from times that are actually free.
Safety and control
- Staff can open the appointment book only with the Appointments permission.
- A drag that would double-book a doctor is refused on screen, and the server checks again before saving.
- Online bookings take the same lock as the front desk, so a patient and a receptionist cannot grab the same slot at once.
- Patients who were checked in are never marked as no-shows by the overnight clean-up.
Good to know
- WhatsApp and SMS reminders are for clinics in India only; clinics elsewhere send email reminders.
- Reminders go out the day before. There is no choice of several reminder times yet.
- A chair is set on each appointment; there is no separate calendar per chair.
Frequently asked questions
Can I drag and drop dental appointments to reschedule them in Dentospire?
Yes. In the calendar, drag an appointment to a new slot. If the new time overlaps another appointment for the same doctor, the move is blocked, and the server checks again before it saves.
Can Dentospire book a repeating appointment series for ortho adjustments?
Yes. In the appointment form, turn on recurrence and choose daily, weekly, every two weeks or monthly with an end date, and assign the chair at the same time.
Does Dentospire remind dental patients about their appointment the day before?
Yes. Patients booked for tomorrow get a reminder on WhatsApp, with SMS as a fallback, for clinics in India, and by email where you have their address, which works for clinics everywhere.
How does Dentospire handle patients who do not turn up?
Appointments from the previous day that nobody attended are marked as no-shows overnight, while anyone who was checked in is left alone. The missed appointments history then gives the front desk a list to call back.
