Move Your Old Data In Yourself
Dentospire's Data Import lets a dental clinic bring patients, treatments and invoices across from its old software's CSV or Excel export, matching columns and previewing the data before anything is written.
The problem in a real clinic
Changing clinic software feels like losing ten years of records. So practices stay on a system they dislike, or pay someone to copy patients across by hand and wait weeks for it.
How it works
- Export patients, treatments and invoices from your old software as CSV or Excel files.
- Open Data Import in Dentospire and choose what you are importing: patients, treatments or invoices.
- Upload the file. Dentospire reads its columns and shows the first rows so you can see what it found.
- Map each column from your old software to the matching Dentospire field; the required ones must be mapped before you can continue.
- Import. Valid rows are added, invalid rows are skipped, and the result tells you how many of each.
What you see on screen
- The columns and a sample of rows from your file before anything is imported.
- A field-by-field mapping from the old software's column names to Dentospire's.
- A result that counts rows imported and rows skipped.
Safety and control
- Nothing is written until you have seen the file's columns and mapped them.
- A row that fails validation is skipped and counted, rather than saved half-filled.
- Treatments and invoices attach to the right patient by phone number, and only within your own clinic.
- A patient's address is encrypted as it is imported.
Good to know
- Import patients first, so treatments and invoices have a patient with a matching phone number to attach to.
- On the Free plan an import cannot take the clinic past 200 patients; a larger list needs a paid plan.
- Very large exports need to be split into several files.
- It reads CSV and Excel files. Scanned paper records are handled by Smart Scan instead.
Frequently asked questions
Can I import patients from my old dental software's Excel export?
Yes. Open Data Import, upload the CSV, XLSX or XLS file, and map its columns to Dentospire's fields. You see the columns and a sample of rows before importing, and rows that fail validation are skipped and counted.
Can Dentospire import treatments and invoices, not just patients?
Yes. Data Import has separate imports for patients, treatments and invoices. Treatments and invoices attach to their patient by phone number, so import patients first.
What happens to rows that fail during a dental data import?
They are skipped rather than saved with missing or wrong fields, and the result shows how many rows were imported and how many were skipped, so you can fix those rows in the file and import them again.
Do I need to pay for help to move my clinic's data to Dentospire?
No. Data Import is built for clinics to do it themselves from their old software's CSV or Excel export. On the Free plan an import cannot take the clinic past 200 patients.
