Moving off paper and Excel

Dentospire helps a dental clinic that runs on registers, files and spreadsheets move into one searchable system, importing Excel lists, reading handwritten case sheets from a photo and letting the clinic download its own backups.

The problem in a real clinic

Paper works until the file cannot be found while the patient waits, or the only person who can read the register is on leave. A year of billing sits in one spreadsheet on one laptop, and nobody wants a switch that loses what is already there.

Upload patients, treatments and invoices from a CSV or Excel file, map its columns to Dentospire's, and see the columns and sample rows before anything is written. Rows that fail validation are skipped and counted rather than saved half-filled.

Photograph the case sheets you cannot retype

Scan Old Record on the Patients page reads a photo of a handwritten case sheet into editable fields. Nothing is saved until someone has checked every field, because handwriting is misread often enough that an unchecked record would be worse than none.

Findable by anyone at the desk

Search patients by name, phone or patient ID, and their chart, treatments, bills, prescriptions and consent forms open together on one record. Finding a file stops depending on who filed it or who can read the register.

Your records, not on one machine

Dentospire runs in the browser, so the records are not tied to a single clinic computer. From Settings → Backup, someone with the data export permission can download everything as an Excel workbook or as a password-protected backup file.

New X-rays that file themselves

With the chairside bridge on the clinic PC, X-rays from Vatech EzDent-i or Sirona Sidexis are filed to the right patient as they are taken, and anything the bridge cannot match waits on the Imaging page for a person to place.

How it works

Export what you already have — patient lists, treatments and bills — as Excel or CSV files.
On Data Import, bring in patients first and map your columns, then treatments and invoices, which attach to patients by phone number.
For handwritten case sheets, use Scan Old Record on the Patients page and check each field before saving.
If you have an RVG sensor, set up the chairside bridge so new X-rays file themselves.
Once the records are in, download a backup from Settings → Backup and keep it somewhere safe.

One patient record with the chart, treatments, bills, prescriptions and consent forms together.

Safety and control

Imports show your file's columns and a sample of rows before anything is written, and skip invalid rows instead of guessing.
A scanned case sheet is never saved until a person has checked the fields.
Backup files are protected with a password you set, and downloading them needs the data export permission.
If the internet drops, you can keep viewing patient data; changes wait until you are back online, so nothing is half-saved.

Good to know

On the Free plan an import cannot take the clinic past 200 patients.
Smart Scan and X-ray reading use the clinic's daily AI allowance.
Each scanned case sheet becomes a new patient with a clinical note; it is not merged into an existing patient.
Offline use is view-only.

What is the safest way to move a paper-based dental clinic onto Dentospire?

Start with what is already typed: import your Excel patient list, check the preview, then import treatments and bills. Photograph handwritten case sheets you still need with Scan Old Record and check each one. Take a backup from Settings once the records are in.

Can I keep my own copy of my dental clinic's data outside Dentospire?

Yes. From Settings → Backup, someone with the data export permission can download all clinic data as an Excel workbook or as a password-protected backup file, and the same page restores from that file.

Does Dentospire work when the clinic's internet goes down?

Partly. You can keep viewing patient data that was already loaded, but changes cannot be saved until the connection is back, so nothing is left half-saved.
